House of Mehr & Iranian Music is an informal community gathering in Ontario, Canada. This notice explains how the organizing team handles information provided through our website, registration forms and inquiries.
Information we collect
We collect the information needed to manage registrations and respond to inquiries. This may include:
Attendee names.
The registrant’s email address and telephone number.
Number of attendees and ticket details.
An optional age bracket for activity planning and attendance statistics.
Ticket validation and check-in records.
Information you choose to include in a message to us.
Please do not submit identification documents, financial information, medical records or other sensitive information through the registration form.
How we use your information
We use registration information to issue and deliver tickets, manage attendance and venue capacity, prevent duplicate ticket use, answer registration questions and communicate necessary changes or safety information about the event you registered for.
Age brackets, where provided, help us plan activities and understand attendance patterns. You do not need to provide an exact birth date.
Information submitted for an inquiry is used to respond to that inquiry.
Who can access your information
Access is limited to organizers, authorized volunteers and service providers who need the information to support registration, ticket delivery, admission or website operation.
We use Odoo for our website and registration system. Odoo and associated hosting or communication providers may process information outside Canada, where it may be subject to local laws and lawful access by authorities.
We do not sell attendee information or share contact lists with sponsors or businesses for their own marketing.
We may disclose information where required or permitted by applicable law, including a legally authorized response to an emergency.
Marketing, WhatsApp and photographs
Registering for an event does not automatically subscribe you to promotional messages or add you to a WhatsApp group.
If we offer newsletters, promotional messages or group invitations, participation will be optional and separate from registration. You may withdraw optional communication consent at any time.
Registration does not give us permission to publish identifiable photographs, video or voice recordings of you for promotional purposes. We will request separate permission for that use, including appropriate parental or guardian permission for children.
Registering other people and children
Provide another person’s information only with their knowledge and permission, and share this notice with them.
A parent or legal guardian should complete a child’s registration using the adult’s contact information. Please provide only the information needed for the child’s attendance.
Storage and protection
We use reasonable safeguards and restrict access to personal information. No electronic system can guarantee complete security.
We retain identifiable information only for as long as needed for registration, event administration, necessary follow-up and applicable legal obligations. Information no longer needed will be deleted or anonymized. Anonymous attendance statistics may be retained for planning.
Website technology
Our website platform may process technical information such as IP addresses, browser information and security logs, and use cookies needed for website functions.
Any optional tracking or additional data uses requiring consent will be explained separately and offered with an appropriate choice.
Your choices and requests
You may contact us to ask about your information, request access or correction, request deletion, or withdraw consent, subject to applicable legal requirements and restrictions.
If you withdraw information needed for an outstanding registration, we will explain any effect on our ability to deliver tickets or administer that registration.
